1. Overview & scope
This Privacy Policy describes how Recruiters.co ("Recruiters.co," "we," "us," or "our") collects, uses, and shares personal information through our website and the Recruiters.co marketplace platform (collectively, the "Service"). It applies to recruiters, independent recruiters, agency staff, sourcers, and employer representatives who create or use an account on the Service.
Candidates whose profiles are submitted, referenced, or discussed through the Service by a recruiter or agency user are covered by our separate Candidate Privacy Notice, which describes our more limited role with respect to candidate data. Where a recruiter or employer account also happens to be the subject of candidate-style data (for example, an independent recruiter's own resume or work history on file), both this policy and the Candidate Privacy Notice may apply to the relevant data elements.
2. Information we collect
Because Recruiters.co is a two-sided marketplace connecting job-side recruiters, candidate-side recruiters, agencies, and employers, the categories of information we collect are broader than a typical single-sided SaaS product:
- Account & identity information — name, work email, phone number, password (managed by our authentication provider), profile details, and role designation (recruiter, sourcer, agency staff, employer representative).
- Organization & business details — company or agency name, website, industries and specialties served, geographic markets, typical fee and guarantee practices, tax/jurisdiction information, and verification documentation submitted to confirm organizational legitimacy.
- Job orders — role details, compensation ranges, requirements, visibility and access rules, and any documents attached to a job order.
- Candidate data submitted by users — when a recruiter or agency user submits a candidate to a job order, we process the candidate information included in that submission. This category is governed primarily by our Candidate Privacy Notice and is included here only because recruiter and agency accounts are the ones providing it.
- Submissions & split agreements — submission status history, split-fee terms proposed and accepted between marketplace participants, platform fee disclosures, guarantee terms, and the signed agreements and signature records that document them.
- Messages — content of messages sent through in-platform threads tied to a job order, submission, placement, agreement, invoice, or dispute.
- Payment & payout details — billing contact information, invoices, payment status, and payout eligibility. Card numbers and bank account details are collected and stored directly by our payment processor, Stripe, and its Stripe Connect payout infrastructure — Recruiters.co never stores full card numbers or bank account credentials.
- Usage, device & log data — pages viewed, actions taken, timestamps, IP address, browser and device type, and approximate location derived from IP address.
- Cookies — as described in Section 8 below.
3. Sources of information
We collect information directly from you (account registration, job orders, submissions, messages), automatically through your use of the Service (usage, device, and log data), and from third parties you choose to connect — for example, our authentication provider when you sign in, our payment processor when you complete billing or payout setup, or an applicant tracking system you integrate with your account.
4. How we use information
We use the information described above to:
- Operate, maintain, and provide the marketplace Service;
- Facilitate matching between job orders, recruiters, and candidates, including surfacing relevant listings and assisted recommendations;
- Verify organizations and individuals, and administer access rules for confidential or invite-only job orders;
- Process payments, calculate split allocations, and route payouts through Stripe and Stripe Connect;
- Detect, investigate, and prevent fraud, duplicate submissions, non-circumvention violations, and other abuse, and support our trust-and-safety and dispute-review processes;
- Send transactional communications (account, submission, and payment notifications) and, where permitted, product updates;
- Perform analytics and product development, generally using aggregated or de-identified data where practical; and
- Comply with legal obligations and enforce our Terms of Service.
5. Legal bases for processing
Where the General Data Protection Regulation (GDPR) or a similar framework applies, we rely on the following legal bases to process personal information:
- Performance of a contract — to create your account, operate the marketplace, and fulfill our obligations under our Terms of Service and any agreement you sign on the platform;
- Legitimate interests — for example, securing the Service, preventing fraud and non-circumvention, and improving marketplace matching, balanced against your interests and rights;
- Consent — where we ask for it specifically, such as for certain marketing communications or optional cookies; and
- Legal obligation — where we must retain or disclose information to comply with applicable law, such as financial recordkeeping requirements.
6. How we share information
Recruiters.co is built around collaboration between marketplace participants, so some sharing is inherent to how the Service works. We share information in the following circumstances:
- With other network participants — as necessary to operate the marketplace. For example, a job order's terms are shared with a recruiter granted access to it, and submission and split agreement details are shared with the other participating recruiter, agency, or employer on that same transaction. This sharing is inherent to a split-fee marketplace and occurs according to the access, visibility, and consent rules built into the Service.
- With service providers and subprocessors — vendors who host, secure, and operate parts of the Service on our behalf, under confidentiality and data-protection obligations. See Section 7 for categories and examples.
- With payment processors — Stripe and Stripe Connect process payments, invoicing, and payouts and receive the information necessary to do so.
- With identity & verification providers — to confirm organizational or individual identity where the Service requires verification for expanded marketplace access.
- For legal & safety reasons — where required by law, legal process, or a good-faith belief that disclosure is necessary to protect the rights, property, or safety of Recruiters.co, our users, or others, or to investigate fraud, abuse, or non-circumvention.
- In a business transfer — if Recruiters.co is involved in a merger, acquisition, financing, or sale of assets, personal information may be transferred as part of that transaction, subject to confidentiality obligations.
We do not sell personal information, and we do not share it with third parties for their own independent marketing purposes.
7. Subprocessors
We use a limited set of subprocessors — vendors who process personal information on our behalf as part of operating the Service. The categories below are illustrative of our current architecture; the specific vendor in each category may change over time, and an up-to-date list is available on request at [email protected].
- Authentication — account sign-in, session, and organization-membership management (for example, Clerk).
- Payments — payment processing, invoicing, and marketplace payouts (for example, Stripe and Stripe Connect).
- Hosting — application hosting and infrastructure (for example, Coolify running on Hetzner infrastructure).
- Transactional email — delivery of account, submission, and payment notifications (for example, Resend or Postmark).
- Object storage — storage of uploaded files such as resumes, job documents, and signed agreements (for example, S3-compatible object storage).
- Product analytics — understanding aggregate feature usage (for example, PostHog).
- Error monitoring — detecting and diagnosing application errors (for example, Sentry).
8. Cookies & similar technologies
We use cookies and similar technologies to keep you signed in, remember preferences, and understand aggregate usage of the Service. We do not use cookies to sell personal information or to serve third-party behavioral advertising. You can control cookies through your browser settings; disabling certain cookies may limit the functionality of the Service, including staying signed in.
9. Data retention
Retention for candidate-specific data is described in our Candidate Privacy Notice. For recruiter, agency, and employer account data more generally, we retain information for as long as your account is active and as needed to provide the Service.
Financial records (invoices, payments, payouts, ledger entries), signed agreements and their version history, audit log entries, and placement and dispute records are retained on an immutable, never-hard-deleted basis, because they serve as the evidentiary and accounting record for completed transactions and are the basis for reconciliation, dispute resolution, and any future regulatory request. Where an account or record is deactivated, closed, or withdrawn, the underlying record is archived rather than deleted from storage.
10. Security
We apply administrative, technical, and organizational practices designed to protect information against unauthorized access, loss, or misuse, including encrypting data in transit, applying least-privilege access controls, and maintaining audit logging of sensitive and financial actions. Card data is handled entirely by Stripe, a PCI-DSS Level 1 service provider — Recruiters.co never stores full card numbers. Further detail is available on our Trust & Security page. No system is completely secure, and we cannot guarantee absolute security of information transmitted to or stored by the Service.
11. International data transfers
Recruiters.co may process and store information in countries other than the one in which you are located. Where required by applicable law, we use appropriate contractual or other safeguards for cross-border transfers of personal information.
12. Your privacy rights
Depending on your jurisdiction, you may have rights to access, correct, delete, or export (port) your personal information, and to object to or restrict certain processing. You can exercise many of these rights directly from your account settings, or by contacting us at [email protected]. We may need to verify your identity before completing a request, and certain requests may be limited by the recordkeeping obligations described in Section 9.
13. US state privacy rights
If you are a resident of California or another US state with a comprehensive privacy law (for example, under the CCPA/CPRA), you may have the right to know what personal information we hold about you, request deletion, request correction, and opt out of the "sale" or "sharing" of personal information as those terms are defined by applicable law.
As stated in Section 6, Recruiters.co does not sell personal information and does not share it for cross-context behavioral advertising. Where required, we honor opt-out preference signals such as the Global Privacy Control. You can exercise state privacy rights by contacting [email protected].
14. Children's privacy
The Service is intended for business use by adults acting on behalf of themselves or an organization, and is not directed to children. We do not knowingly collect personal information from children.
15. Third-party links
The Service may link to third-party websites or services we do not control, including integrated applicant tracking systems. This Privacy Policy does not apply to those third parties, and we encourage you to review their privacy policies separately.
16. Changes to this policy
We may update this Privacy Policy from time to time. Material changes will be reflected by updating the "Last updated" date above and, where appropriate, through additional notice within the Service.
