Candidate Privacy Notice
Last updated
This page is a template provided for general reference only. It is not legal advice, does not create an attorney-client relationship, and must be reviewed and adapted by a licensed attorney in your jurisdiction before use. Recruiters.co makes no representation that this document satisfies any specific legal or regulatory requirement.
1. Who this is for & our role
This notice is for candidates — people whose profile, resume, or work history has been submitted, referenced, or discussed through the Recruiters.co marketplace by a recruiter or agency. You may not have an account with us; you are likely here because a recruiter you're working with shared this notice, or because you searched for it after learning your information was submitted to a role.
In most cases, the recruiter or agency who submitted you is the controller of your personal information — they decide what to submit, to whom, and why. Recruiters.co processes your information on their behalf to run the marketplace, and also acts as a limited controller for narrow platform-integrity purposes, such as detecting duplicate candidate submissions across recruiters and preventing fraud. This notice supplements our general Privacy Policy, which applies to recruiter and employer accounts directly.
2. How your information reaches us
A recruiter or agency using the Service submits your information — they represent to us, and to any employer they engage on your behalf, that they have your consent (or another lawful basis) to do so. We do not independently verify every representation of consent at the point of submission; if you believe your information was submitted without appropriate authorization, please contact us using the details in Section 12.
3. What information we hold
Depending on what the submitting recruiter provides, we may hold:
- Identity and contact information (name, email, phone);
- Resume or CV and related documents;
- Work and education history;
- Skills and specialty tags;
- Compensation expectations and, where provided, compensation history;
- Work authorization status;
- Consent records — what you consented to, when, and any expiry or revocation; and
- Submission history — which job orders you've been submitted to and the status of each.
Identifying information (name, direct contact details) is stored separately from the marketplace-visible profile (skills, experience level, general location, compensation range, availability) that powers blind profiles, described next.
4. Blind profiles
Candidate profiles shared within the marketplace are generally represented as "blind" profiles — describing relevant experience and qualifications without revealing your identity — until you or your recruiter engage with a specific opportunity (for example, once an employer moves forward with your submission). This is designed to reduce the risk of your identity or job search being disclosed to parties who haven't engaged with your submission.
5. How your information is used
We use candidate information to:
- Match and submit you only to roles and employers within the scope of consent on file for that submission;
- Support communications related to a submission, interview, offer, or placement you're part of;
- Maintain platform integrity — detecting duplicate submissions, investigating suspected fraud or misrepresentation, and supporting dispute review between recruiters who may claim to represent you.
6. Consent — scope, expiration, and withdrawal
Consent recorded through the Service is scoped to a specific purpose — generally, submission to a specific job order or a defined set of opportunities — and may include an expiration date. It does not carry forward indefinitely or apply beyond what was agreed. You can withdraw consent at any time by contacting the recruiter who submitted you, or by contacting us directly at [email protected]. A withdrawal is recorded as a new event rather than erasing the record that consent was originally given, so there is a clear history if a dispute arises later.
7. Duplicate detection & identity tokens
To detect when two recruiters may be submitting the same candidate, we generate keyed hashes of certain identifiers (such as your email, phone number, or resume content) — not your raw identifying data. These hashes are designed to be one-way: they let our systems recognize a likely match without reconstructing your underlying information from the hash, and they are never shown to other recruiters or employers. Only the fact that a possible duplicate exists is surfaced, subject to human review where it matters.
8. Who can see your information
Your information is visible to the recruiter or agency who submitted you, and to job-side recruiters and employers within the scope of the consent on file for a given submission. We do not sell your data, and we do not broadcast your identifying information across the marketplace beyond the scope you or your recruiter agreed to.
9. AI matching
The Service may use AI-assisted matching to help surface relevant candidates for a job order or relevant roles for a candidate. This is assistive only and is reviewed by a human recruiter before any submission is made — Recruiters.co does not make solely-automated decisions about you that produce legal or similarly significant effects.
10. Your rights
Depending on your jurisdiction, you may have the right to access, correct, or delete the information we hold about you, withdraw consent, object to certain processing, or request a portable copy of your data. You can exercise these rights by contacting us at [email protected], or through the recruiter who represents you, who can also relay a request on your behalf. We may need to verify your identity before completing a request.
11. Data retention & do-not-contact
We retain candidate information for as long as needed to support an active or historical submission or placement record, including guarantee-period and payment reconciliation purposes tied to a placement you were part of, and in accordance with applicable law. Financial, placement, agreement, and dispute records that reference you by an internal identifier are retained on an immutable basis even where identifying details are later redacted at your request.
If you'd like to be removed from future consideration or marked do-not-contact, contact [email protected] or the recruiter who submitted you, and we will flag your record accordingly.
12. Security
We apply administrative, technical, and organizational practices designed to protect your information, including encrypting data in transit, least-privilege access controls, and audit logging of access to sensitive candidate records. More detail is available on our Trust & Security page.
13. International transfers
Recruiters.co may process and store information in countries other than the one in which you are located. Where required by applicable law, we use appropriate safeguards for cross-border transfers of personal information.
14. Changes to this notice
We may update this notice from time to time. Material changes will be reflected by updating the "Last updated" date above.
15. Contact
Candidates with questions about this notice, or who want to exercise a right described above, can contact [email protected].
